Short answer: for most businesses, the best Zoho Mail alternatives are Google Workspace and Microsoft 365, from $7 per user a month. For privacy, Proton Mail for Business and Tuta encrypt your mail end to end. Why people look for a Zoho Mail alternative
Zoho Mail is one of the cheapest ways to get email on your own domain: Mail Lite costs $1 per user a month, it's ad-free, and there's a free plan for up to five users. Its drawbacks are mostly limits rather than price:
- The free plan is web-only. It doesn't include IMAP, POP or ActiveSync, so you can't use it in Outlook, Apple Mail or other apps, and it's only offered in some regions.
- Yearly billing on the cheapest plans. Mail Lite and Mail Premium are sold as yearly subscriptions only.
- Fitting in with other tools. If your team already uses Google or Microsoft apps, email from the same company fits in more easily.

1. Google Workspace: Best for most businesses
Google Workspace gives you Gmail on your own domain, plus Drive, Docs, Meet and Calendar. Gemini in Gmail is included from the Starter plan, and most email apps work with it. Google's data import tool can copy mail across from Zoho during the switch.
- Who it's for: businesses that want the most familiar email and office apps
- Price: Business Starter $7 per user a month billed yearly, or $8.40 monthly; Standard $14; Plus $22; 14-day trial
- Storage: 30 GB per user on Starter, 2 TB on Standard

2. Microsoft 365: Best for Microsoft Office users
Microsoft 365 Business plans bundle Exchange email with Outlook, Teams and the Office apps. Every business mailbox gets 100 GB. If you only need email, Exchange Online (Plan 1) is $4 per user a month with a 50 GB mailbox.
- Who it's for: teams that already use Word, Excel or Teams

Proton Mail is based in Switzerland and encrypts mail end to end between Proton users, with zero-access encryption for what's stored. Business plans include custom domains and Proton Mail Bridge, which lets Outlook, Apple Mail and Thunderbird connect.

6. mailbox.org: Best for European hosting
mailbox.org is a German email provider with servers in Berlin, IMAP and POP access, and custom domains on its Standard and Premium plans.
- Who it's for: businesses that want their email hosted in Germany
- Price: Light €1, Standard €4, Premium €12 per user a month, plus a business service package from €25 a month; private Standard €3 a month yearly; 30-day trial
- Storage: 2 GB on Light, 20 GB on Standard, 50 GB on Premium
- Apps: webmail and any IMAP app
- Downside: business plans add a monthly service package on top of the per-user price, and Light doesn't include custom domains.
Keep Zoho, change the app
If you're happy with Zoho as your email host but not with its apps, you can keep your address and read it somewhere else. You'll need a paid Zoho plan, because the free plan doesn't include IMAP.

How to move from Zoho Mail
- Sign up with the new provider and add your domain.
- Copy your mail. Google Workspace's data import tool can pull mail straight from Zoho. Microsoft 365's IMAP migration moves mail folders, but not contacts or calendars. Zoho itself exports mail as EML files in a ZIP, one folder at a time.
- Move contacts and calendars separately, using each app's import and export options.
- Point your domain at the new provider by updating its MX records, following the new provider's setup guide.
- Keep Zoho running for a few days until mail stops arriving there, then cancel.

Is there a free alternative to Zoho Mail?
Not for email on your own domain: Zoho's free plan is unusual. Proton, Tuta and Gmail have free personal plans, but without a custom domain. For a business address, the cheapest paid options here are mailbox.org from €1 (without a custom domain), Fastmail Basic at $3 and Microsoft's Exchange Online at $4 per user a month.
Is Zoho Mail better than Google Workspace?
Zoho is far cheaper, with paid plans from $1 per user a month against $7. Google Workspace gives you Gmail's interface, Gemini in Gmail, and much more storage from the Standard plan up.
Is Zoho Mail better than Microsoft 365?
