Short answer: a unified inbox shows the email from all your accounts, such as Gmail, Outlook, iCloud and a work address, in one list, while each account stays separate underneath. Apple Mail calls it All Inboxes, the Gmail app calls it All inboxes, and Outlook calls it All Accounts. You turn it on by adding your accounts to one email app.
What is a unified inbox?
A unified inbox (sometimes called a universal or combined inbox) is a single view of the incoming mail from several email accounts. Instead of opening Gmail in one tab, Outlook in another and checking your iCloud address on your phone, you see everything in one list, newest first.
Nothing is merged on the server. Each account keeps its own mailbox, folders, password and settings. The email app simply shows them together, usually with a color or label that tells you which account each message came to, and you can still open any account on its own.
The term has a second meaning in business software. Customer service tools use "unified inbox" for one place that collects a company's email, live chat, SMS and social messages so a team can answer them. That is closer to a shared inbox; we cover it below.
Benefits of a unified inbox
- One place to check. You stop switching between apps and tabs, and you're less likely to miss a message in an account you rarely open.
- One set of habits. The same swipe actions, search, snooze and rules work across every account.
- Faster triage. Personal and work mail sit side by side, so you can decide what matters across everything at once.
- Replies from the right address. Good email apps reply from the account a message was sent to, so you don't have to log in anywhere else.
The trade-off is noise: if one account gets a lot of newsletters, it can bury everything else. Most apps let you filter the unified view by account, mute an account's notifications, or leave an account out of the combined list.

How to set up a unified inbox
Apple Mail on Mac, iPhone and iPad
Add each account (on a Mac, Mail > Add Account; on iPhone and iPad, Settings > Apps > Mail > Mail Accounts > Add Account). Once you have two or more, Mail shows an All Inboxes mailbox at the top of the sidebar on a Mac and at the top of the Mailboxes list on iPhone. On a Mac you can filter All Inboxes to show one account at a time.
The Gmail app on iPhone and Android
The Gmail app can add Outlook, iCloud, Yahoo and other IMAP accounts alongside your Google accounts. Tap your profile picture at the top right, then Add another account. To see them together, tap Menu, then All inboxes.
Gmail on the web is different. It has no unified inbox for accounts you add, and Google is removing Gmailify and the option to fetch mail from other accounts with POP, so pulling another provider's mail into gmail.com is going away. If you want everything in one place on a computer, use an email app instead.
Outlook
In the Outlook app on iPhone and Android, tap the account icon at the top left, then the All Accounts icon at the top of the menu. Outlook for Mac also lists a unified inbox among its features. On Windows, Microsoft's roadmap lists an All Accounts view (unified inbox) for the new Outlook, with general availability planned for August 2026, so whether you see it depends on your version.

Is it safe to use a unified inbox?
Yes. A unified inbox doesn't change how your accounts are secured: each one still signs in with its own password or sign-in method, and your mail stays with each provider. What matters is the app you choose, because it holds access to every account at once. Turn on two-step verification for each account, pick an app from a developer you trust, and check whether the app syncs your mail through its own servers or connects to your provider directly from your device.
